A Simple Guide to Digitizing Your Gas Agency

From paper registers to digital records in four steps, without disrupting daily deliveries.

Start with customers, not everything

The most common mistake is trying to move the whole operation in one weekend. Begin with the customer database — names, phone numbers, connection numbers and addresses. Everything else hangs off it.

Step 2: set up cylinder categories and pricing

Enter every cylinder type you actually sell with its own price and tax treatment. Accurate categories are what make invoices and stock reports correct later on.

Step 3: run bookings in parallel for two weeks

Keep the paper register alongside the system for a short overlap period. Staff build confidence, and any mismatch is caught while you still have both records to compare.

Step 4: switch invoicing and reporting over

Once bookings and deliveries are reliable, let the system generate invoices on delivery completion. Sales, outstanding payments and stock reports then come for free, because the data is already there.

Give it a month

Agencies that move in these four steps are usually fully digital within a month, without a single delivery day lost to the transition.
